This Privacy Policy outlines the Daily Publications Society’s practices regarding the collection, use and retention of personal information.

Purpose of Use

We only collect data that enables us to achieve our mission. The data that is collected is not used to identify people, but rather to understand trends in the use of our publications and to improve them.

Personal data collected will only be used for the purposes specified in this policy or indicated on the relevant pages of our website. We do not use your data beyond what we disclose.

The data we collect may be used for the purposes of:

  • a. Managing contributor and member lists;
  • b. Collecting statistics related to the management of our website and social networks;
  • c. For any other purpose required by law.

Collection of Personal Information

From Website Visitors

When you visit and use our site, we may automatically collect and store the following information through Matomo and the web host’s log files:

  • a. IP address (partial and anonymized version);
  • b. Approximate geographical location (according to Internet service provider);
  • c. General information about the device used (operating system, browser, screen size, etc.);
  • d. Site links clicked;
  • e. Site content browsed;
  • f. Date and time.

When you view the publications’ profiles and publications on social networks (Facebook, Instagram, X, YouTube/Vimeo, TikTok), these platforms may automatically collect data. Details of the data collected on these platforms are defined in their Privacy Policies and Terms of Use.

When online advertising campaigns are displayed on the DPS websites, the open source software called Revive Adserver collects some aggregate data to keep a record of impressions (how many times an advertising banner is displayed) and clicks, but does not collect personal information.

When you use the Google search tool on our websites or submit a form secured by reCaptcha, those services may collect data as specified in their Privacy Policies.

From Newsletter Subscribers

When you sign up to our newsletter (either via a list of members of the Daily Publications Society provided by McGill University, or through a sign-up form online), we collect the following information:

  • First and last names;
  • Email address;
  • Which newsletter(s) you are signing up for.

Our newsletter is distributed through Brevo, which means that some personal information (name, email address) will be shared with this service to facilitate sending and receiving the newsletter.

Please note that this external service collects and stores your personal information outside of Canada.

From Contributors

Contributors to the McGill Daily and Le Délit may be asked to provide information, including their full name (to receive proper credit) and contact information (to receive future pitches or calls for submissions). Some sections use additional communication tools (such as private groups on social media platforms), which have their own privacy policies.

Cookie Policy

We use browser cookies to improve the performance and experience of our websites. Cookies are small files that make it possible to recognize a user and personalize their content.

On the McGill Daily and Le Délit websites, optional cookies are used by Matomo to help identify first-time and repeat visitors, and to record user sessions (e.g. keeping track of all the pages one person visits in a continuous fashion).

Technical cookies, also known as HTML cookies, are used for the transmission of communications or to provide the services you have requested (for example, your language preference on the Daily Publications Society website).

You can modify your browser settings to refuse cookies, just as you can clear your browser cache of all cookies at any time. However, deleting cookies from your browser may remove any preferences you have set for our websites.

When you arrive on the website, upon your first visit, we will ask for your consent to use cookies via a floating banner that requires your approval by clicking on a button (consent valid for up to 12 months).

Who Has Access to Data

We may disclose to members of our team such user data as they may reasonably require in order to carry out the purposes set out in this policy.

We may share some user data with the following third parties, who have their own Privacy Policies:

  • a. OVH (web host);
  • b. Brevo (newsletter provider);
  • c. Backblaze (backup provider);
  • d. pCloud (cloud storage provider);
  • e. Google (cloud storage provider).

We may share user data with third parties for the following purposes:

  • a. Communication;
  • b. Improving and securing our digital tools;
  • c. Statistical.

Third parties will not be able to access user data beyond what is reasonably necessary to achieve the given purpose.

We undertake not to sell or share user data with other third parties, except in the following cases:

  • a. If required by law;
  • b. If required for any legal proceedings;
  • c. To prove or protect our legal rights.

If you follow hyperlinks from our site to other sites, please note that we are not responsible for and have no control over their privacy policies and practices.

How Long We Keep Your Information

Data collected automatically with the analytics tool (Matomo) is systematically anonymized and data logs are deleted from the system after two years.

Data collected by the Daily Publications Society for the purpose of running the organization and its publications (such as information about contributors) will be stored until a request is made to the Privacy Officer to remove it.

The data retention period for external service providers is established according to their own Privacy Policies.

How We Protect Your Personal Data

All private data stored in our system is secure and accessible only to the persons concerned. While we take all reasonable precautions to ensure the security of user data, there remains a risk of harm. We are therefore unable to fully guarantee the security of user data beyond what is reasonably possible.

Privacy Officer

The Daily Publications Society Board of Directors mandated a Privacy Officer to ensure the protection of personal information. The Privacy Officer is responsible for determining the purposes and means of processing personal information. They undertake to protect the personal information collected, not to transmit it to third parties unless you have been specifically informed or through this policy, and to respect the purposes for which the information is collected. In addition, they undertake to notify you in the event of rectification or deletion of personal information, unless this would entail disproportionate formalities, costs or steps for the Daily Publications Society.

In the event that the integrity, confidentiality or security of your personal information is compromised, the Privacy Officer undertakes to inform you by any commercially reasonable means.

Applicable Laws

This policy complies with the laws set out in the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and the provincial Act respecting the protection of personal information in the private sector.

If you are not satisfied with the way we respond to your requests or questions regarding the collection, retention, use or disclosure of your personal information, you may contact the Commission d’accès à l’information, a public body responsible for overseeing personal information practices.

Changes

This Privacy Policy may be amended from time to time in order to comply with the law and to reflect any changes in the data collection process. We recommend that our users check our policy from time to time to stay informed of any updates.
